REQUEST for PROPOSAL

The North American Brass Band Association (NABBA) is soliciting Proposals for hosting the Annual Championship Contest in 2011, 2012 and 2013. Successful Proposals should address each of the following criteria:

LOCATION – Within 600 air miles of Lexington, Kentucky.

DATE – Any consecutive Thursday, Friday and Saturday in April excluding the Easter weekend

TRANSPORTATIONEasy access to major hubs of North/South and East/West Interstates is paramount. Airports in close proximity to the Contest Venues with direct non-stop flights to England are desired

HOTELS – One or more hotels within easy walking distance to the Contest Venues are mandatory. Approximately 50 room nights on Thursday, and 400 room nights on Friday and Saturday nights are required (850 room nights total)

FRIDAY DAY VENUEOne building containing three rooms with a combined seating capacity of approximately 1,000 or more suitable for conducting three concurrent solo/ensemble competitions between the hours of 8:00 AM through 5:00 PM. In addition 3 pianos (not electric) and 12 music stands are required.

SATURDAY VENUES – One building containing two theaters or two theaters within fifteen (15) minutes walking time of each other with the larger of the two having a capacity of 1,400 or more and the smaller having a capacity of approximately 400. The larger theater would be utilized between 7:00 AM through 11:00 PM while the smaller theater would be utilized between 8:00 AM through 5:00 PM. Aside from each theater having a main stage each must have as a minimum of 2 additional rooms to be utilized as case storage and warm-up rooms in each theater. Each theater is required to have a minimum of 65 chairs, 65 music stands and 1 conductor’s podium.

BONUS CONSIDERATION – Favorable addition consideration will be given to Proposals that include Letters of Understanding from a minimum of 6 college/university, high schools or middle/junior high schools for the use of their school’s band room on Friday evening by competing bands for pre-contest rehearsals. Close proximity to the Friday and Saturday Venues will be paramount.

VENDOR AREA – Successful proposals must include one large unobstructed room to be utilized by thirty 10’ X 10’ vendor exhibition booths with electricity available for 10 of the booths. Space must be included to receive display materials on Wednesday and Thursday prior to the start of the Contest and also provided through Monday for shipping pick-up. The Vendor area will be moved in on Friday Morning, open the balance of Friday through Saturday at 5:00 PM.

DISTANCE BETWEEN VENUES – The successful proposals will have the Hotel(s), Vendor Area, Friday Venue, Saturday Venue, and numerous Restaurants located with easy walking distance of each other. Facilities that contain more than one of the aforementioned areas under one roof are encouraged.
